Adding an our files page
You can share all your documentation, ranging from minutes of meetings, leaflets, publication and forms. Allowing your visitors to download a copy from your website will save you time and money, plus give them what they are looking for immediately.
You can create folders to organise your files into. This will make it easier and quicker for your visitors to find what they are looking for e.g. Fact Sheets, Leaflets, Agendas and Minutes.
Decide how many folders you wish to have. This is dependent on what kind of information you want to share on your website. You can add files and websites address (URLs) to your folders as well as adding folders within folders.
To enable the our files page
- Log in to your website
- From home page select ‘Manage Website’ link
- Click on ‘Create standard pages'
- A list of standard pages will appear. Our Files - click the ‘Enable' link under the ‘Actions' heading
- Under the ‘Enabled' heading it should now say ‘On’
Adding a folder
- Select Our Files from the navigation menu found on your homepage
- Click 'Add a folder'
- Add a title and add a description for your folder.
- Click 'OK'.
- You will then be taken back to the our files page. Your folder will be displayed.
- You can create more folders within this folder or upload your files into this folder.
Editing a folder
- Select Our Files from the navigation menu found on your homepage
- Navigate to the folder you wish to edit by checking the box alongside the folder name
- Click Edit this folder'
- Update the name of the folder .
- Click 'OK'.
- You will then be taken back to the our files page. Your folder will be displayed with the new name.
Deleting a folder
- Select Our Files from the navigation menu found on your homepage
- Navigate to the folder you wish to delete by checking the box alongside the folder name
- Click 'Delete this folder'
- You will be asked if you want to delete the folder. Please note you cannot delete the folder if you have saved other files, folders and website addresses within that folder. You will have to either delete the folder content or move them elsewhere (See Editing and moving a file)
- Click 'OK'.
- You will then be taken back to the our files page. Your folder will be displayed.
- You can create more folders within this folder or upload your files into this folder.
Adding a file
- Select Our Files from the navigation menu found on your homepage
- You can add a file to a folder or add a file directly to your Our Files page. Click the Name of the folder you wish to add the file to.
- Click 'Add a file'
- Look for the file on your computer by clicking on the 'Browse' button.
- Once you have located your file, click 'Open'
- Add a title and description for your file.
- Click 'OK'. Remember, if it is a large file, this may take a few minutes depending on your Internet connection
- You will then be taken back to the our files page. Your file will be displayed within your folder. Try to keep the file Size small as the larger the file the longer it will take for your users to open.
Uploading a new version of a file
- Select Our Files from the navigation menu found on your homepage
- Navigate to the file you wish to edit by clicking on the folder name in which your file sits
- Click 'Properties'
- You can upload a new revision of the file by clicking on 'Upload Revision'
- Look for the revised file on your computer by clicking on the 'Browse' button.
- Once you have located your file, click 'Open'
- Click 'OK'
- You can view both the old and new version of the file by clicking on 'Show all versions' displayed underneath 'Back to folder view'.
- Once you have clicked 'Show all versions', the link will be replaced to 'Show live version' which only displays the latest version of the document on your website. You can toggle between both links.
Editing and moving a file
- Select Our Files from the navigation menu found on your homepage
- Navigate to the file you wish to edit by clicking on the folder name in which your file sits
- Click 'Properties'
- You can give your file another name by clicking 'Rename file', adding the new name and clicking 'Change Name'
- You can copy your file and paste it into another folder by clicking 'Copy'. Navigate to the folder you wish to copy the file to by clicking on the name of the file. Please note you cannot copy the same file into the same folder
- You can move your file into another folder by clicking 'Move'. Navigate to the folder you wish to move your file to by clicking on the name of the file
Deleting a file
- Select Our Files from the navigation menu found on your homepage
- Navigate to the file you wish to delete by clicking on the folder name in which your file sits
- Click 'Properties'
- Click 'Delete'
- You will be asked if you want to delete the file.
- Click 'OK'.
- You will then be taken back to the our files page. Your file will not be displayed.
Adding a website address (URL)
- Select Our Files from the navigation menu found on your homepage
- Click the Name of the folder you wish to add the website address (URL) to.
- Click 'Add a URL'
- Fill in the website address in the 'URL' box. You do not need to include http://
- Add a title and description for the website address (URL).
- Click 'Create'.
- You will then be taken back to the our files page. Your file will be displayed within your folder.
Deleting a website address (URL)
- Select Our Files from the navigation menu found on your homepage
- Navigate to the website address (URL) you wish to delete by clicking on the folder name in which your URL sits
- Check the box displayed to the left of the URL name
- Click 'Delete' (shown underneath the table)
- You will be asked if you want to delete the URL
- Click 'OK'.
- You will then be taken back to the our files page. Your website address (URL) will not be displayed.
- You can also delete the website address by using 'delete' found when clicking 'Properties'. However this will not give a warning message about deleting the website address.
